We had four cardboard boxes of my late father's papers and genuinely had no idea what was in them or which were important. After the Dating and Labelling Workshop I had a method and the materials to work through them myself. It took another two weekends but at least I knew what I was looking for.

Taiping, Perak

My family used the Layered Archive Build after my mother passed. Patinafold came to the house in Taiping for both appointments, which made a lot of difference given the volume of papers. The indexed archive and the gap list were exactly what our solicitor asked for when we eventually met with him. I would have preferred a slightly faster turnaround between appointments but understand why it was spaced out.

The Strata Register was four months of steady, quiet work. What I appreciated most was that nobody at Patinafold told me what anything meant or what I should do with it. They sorted, labelled, and documented — and then gave me a summary sheet I could hand to the estate agent. That is exactly the boundary I needed.

My siblings and I had photographs going back to the 1930s with nothing written on them. The dating workshop taught me to look at what was in the photograph itself — the style of clothes, the background furniture, the type of camera format. I managed to narrow down most of them to within a decade. That was more than I expected from a two-hour session.

Norzaini binti Baharom

Teluk Intan, Perak

We had Jawi-script documents from my grandparents that none of us could read well enough to date. Patinafold's Noraini handled those alongside the other papers — the naming convention they produced treats them the same as any other document, which is how it should be. The gap list at the end was a bit daunting but it was accurate.

Four months felt long at the start but the monthly reviews kept the work moving without pressure. By month three I had a clearer picture of my family's land history in Perak than anyone in the family had managed in thirty years of informal inquiry. The bound register is something I can keep and pass on.

Two Detailed Case Summaries

These longer accounts give a more complete picture of what the archive process looks like from start to finish.

CASE SUMMARY 01 · LAYERED ARCHIVE BUILD

A Three-Sibling Family, One Property, Forty Years of Papers

STARTING POSITION

Three adult siblings in Ipoh inherited a family home after their father's death. Papers were distributed across the property in no particular order — some in a filing cabinet, some in folders, some loose in drawers. Several appeared to relate to the land title but none were dated and the siblings were unsure which were current.

WHAT PATINAFOLD DID

Two appointments at the property. First: sorted into period groups and began dating using letterheads and rubber stamps. Second: completed the index, labelled all dividers, scanned to a USB the family already had, and produced a gap list showing three documents referenced in others but not found in the collection.

WHERE IT LEFT THINGS

The siblings arrived at their solicitor's appointment with an indexed and labelled archive covering 1958 to 2019, a printed contents page, a gap list, and a USB copy. The solicitor was able to identify the relevant documents within the first fifteen minutes. The three items on the gap list were located in a second property the following week.

"The solicitor actually commented that we were the best-prepared family he had seen for this type of matter. That was entirely because of what Patinafold produced." — T.K., Ipoh

CASE SUMMARY 02 · STRATA REGISTER PROGRAMME

A Single-Family Property with Pre-Independence Documents

STARTING POSITION

A family in Kampar with documents spanning from the 1940s to the present, including several in Jawi script from the grandparents' generation. The family had attempted to sort the papers themselves but were unable to date the older Jawi documents and uncertain about the sequence of later correspondence.

WHAT PATINAFOLD DID

Monthly reviews over four months, alternating between Kampar and the Ipoh office. Jawi documents were dated using characteristics of the script style and paper, cross-referenced against the family's datable Rumi documents. A dated chronology from 1946 was produced, with provenance notes for each holding and a neutral summary sheet.

WHERE IT LEFT THINGS

A bound register covering seventy-eight years of family documents, with a digital mirror on the family's own drive and a neutral summary sheet the family handed to a property solicitor. Three items on the gap list were subsequently located in a relative's home. The Perak practitioner directory was used to identify a suitable valuer for the next step.

"Having the Jawi documents properly dated and sitting in the same register as the later papers — in sequence — made the whole family's history legible for the first time." — R.V., Kampar
